Being the Treasurer of the BMW Club of Northern California is fun and it’s much easier than it was a few years ago now that we’ve automated many of the tasks and shared the workload with the other Board of Directors (BOD) members. The job can be done in just a couple of hours a week and here’s a recap of the Treasurer’s duties and responsibilities!
- Pay bills to our vendors (once approved by the President)
- Make deposits into our checking and savings account for cash and checks received
- Reconcile and assign account information to the deposits received from PayPal (for all online transactions)
- Balance the check and savings accounts each month and produce a profit & loss statement
- Support the President, committee chairs and BOD in developing the budgets by providing historical revenue reports for the 49’er, Range of Light and annual club operations
- Prepare and complete the annual club audit in August of each year
- Prepare and file the State of California and Federal Tax Returns by November of each year and pay the annual sales tax bill to the Board of Equalization
- Compete and file a Statement of Information with the State of California every other year
- Pay annual fees including renewing the PO Box and MOA and RA memberships
- Review all contracts for the 49’er Rally and Range of Light including fairground rentals and catering
You don’t need to be an accountant to be the Treasurer! If you have previous experience with any checkbook software product (Quicken, Money, etc.) and/or online bill payment from your bank, you’ll do just fine. Finally, there are two previous Treasurers active in the club and available to you anytime with 6+ years of combined experience.
